The Poly VVX 250 is a reliable 4-line IP phone designed for simple, everyday calling needs. This guide walks you through assembly, connections, hardware features, provisioning behavior, and verification on the PENGUIN VoIP platform.
Important: The Poly VVX series is not fully supported by PENGUIN.
We can verify registration on our servers, but firmware issues and local network troubleshooting must be handled by your IT provider.
1. What's in the Box

2. Hardware Overview – Front of Phone
The diagram below shows the front hardware layout of the Poly VVX 250. Each numbered item corresponds to a description beneath the image.
Hardware Callouts (1–17)
- Line Keys – Select lines, speed dials, or features.
- Reversible Hookswitch Tab – Prevents the handset from falling when wall-mounted.
- Speaker – Outputs audio in speakerphone mode.
- Back Key – Returns to the previous menu.
- Transfer Key – Initiates blind or attended transfers.
- Hold Key – Places a call on hold.
- Volume Keys – Adjust ringer, handset, headset, and speaker volume.
- Dialpad Keys – Standard dialing and DTMF keypad.
- Mute Key – Mutes your microphone during active calls.
- Speakerphone Key – Enables speakerphone mode.
- Headset Key – Enables headset mode (if supported).
- Microphone – Captures audio for calls.
- Select Key – Confirms menu selections.
- Navigation Keys – Navigate menus and highlight active calls.
- Soft Keys – Dynamic on-screen buttons for actions like “Transfer”, “More”, “Redial”, etc.
- Security Slot – Kensington-style lock slot.
- Display Screen – Shows lines, calls, menus, and soft key labels.
3. Back Panel & Port Connections
The Poly VVX 150–450 series share the same rear-port layout. The diagram below shows the ports as they appear on the back of the device (left to right).
Rear Panel Port Descriptions (Left to Right)
- Handset Port (RJ9) – Connect the coiled handset cord here.
- Headset Port (RJ9) – Used for wired headsets (not present on VVX 150).
- LAN (PoE) Port (RJ45) – Connect to your network switch or router; provides power if PoE is supported.
- PC Port (RJ45) – Optional passthrough to connect a computer through the phone.
- Power Port (48V DC) – Connect the Poly power adapter if PoE is not available.
- Security Slot – For Kensington-style security locks.
3.1 Connecting the Phone (Step-by-Step)
- Attach the stand — Slide the stand tabs into the slots and lock in place.
Connect the handset:
- Plug the coiled cord into the handset.
- Plug the other end into the Handset port.
Connect the network cable:
- Plug an Ethernet cable into the LAN (PoE) port.
- Connect the other end to a PoE-enabled switch or router.
- Optional: PC passthrough — Connect a computer to the PC port.
Provide power:
- If your switch supports PoE, no adapter is required.
- If not, plug the Poly 48V adapter into the Power port.
- Power on — The phone will boot automatically once powered.
Note: If the phone does not power on, verify that your switch supports PoE or use the included 48V power adapter.
4. Phone Boot & Provisioning
After powering on, the VVX 250 will:
- Display the Poly logo.
- Obtain an IP address through DHCP.
- Attempt to contact the PENGUIN provisioning server (if pre-configured).
If you're bringing your PENGUIN or your IT provider provided the device, it may need to be factory defaulted.
PENGUIN Can Verify: We can confirm if the phone is registered and communicating with our servers.
PENGUIN Cannot Assist With: Firewall, VLAN, PoE, or network-side configuration issues — these must be handled by your IT team.
5. How to Verify the Phone Is Working
Your phone is functioning correctly when:
- The line key shows your extension name (not “Line Unregistered”).
- You can place outbound calls.
- You can receive inbound calls.
- The voicemail indicator lights when new messages arrive.
6. Basic Calling Features
Place a Call
- Pick up the handset or press Speaker.
- Dial the number.
- Press Send if prompted.
Answer a Call
- Pick up the handset, or press Speaker or Headset.
Hold & Resume
- Press Hold to place the call on hold.
- Press Resume to continue.
Transfer a Call
- Press Transfer.
- Dial the extension/number.
- Press Transfer again to complete.
7. Voicemail
- Press the Messages key.
- Select your line if prompted.
- Follow the audio prompts.
