Getting Started With Your Poly D230 DECT IP Phone

The Poly D230 is a long-range cordless DECT IP phone designed for mobility around the home or office. This guide walks you through assembly, connections, handset and base features, provisioning behavior, and verification on the PENGUIN VoIP platform.

Important: The Poly D230 is not fully supported by PENGUIN. We can verify registration on our servers, but pairing issues, DECT range problems, firmware, or local network troubleshooting must be handled by your IT provider.

1. What's in the Box

  • Poly D230 Handset
  • DECT Base Station
  • Handset battery
  • Belt clip (may vary by kit)
  • Charging cradle (if included in your model bundle)
  • Ethernet cable
  • Power adapter (if PoE is not available)

2. Handset Hardware Overview

The diagram below shows the front layout of the Poly D230 handset. Each numbered item corresponds to a description beneath the image.


Handset Callouts

  1. Speaker (Earpiece) – Provides audio during calls.
  2. Display Screen – Shows menus, caller ID, status icons, and soft keys.
  3. Soft Keys – Change depending on the screen (Options, Redial, More, etc.).
  4. Navigation Keys – Navigate menus, highlight selections, adjust settings.
  5. Select/OK Key – Confirms selected menu items.
  6. Talk/Send Key – Places or answers a call.
  7. End/Power Key – Ends a call or powers the handset on/off.
  8. Dialpad Keys – Standard 0–9 dialing with *, #, and long-press functions.
  9. Speakerphone Key – Toggles hands-free audio mode.
  10. Mute Key – Mutes your microphone during calls.
  11. Volume Keys – Adjust the earpiece, ringer, or speaker volume.
  12. Belt Clip Slot – Attaches the optional belt clip.
  13. Battery Cover – Access to the rechargeable battery.

3. Base Station Hardware & Ports

The Poly D230 includes a DECT base station that connects to your network and provides wireless coverage for the handset. The diagram below shows the rear-port layout (left to right).


Base Station Ports (Left to Right)

  • Pairing Button – Used to register/associate the handset to the base.
  • LAN (PoE) Port – Connects the base to your network switch or router. Provides power if PoE is supported.
  • Power Port (5V or 48V, model dependent) – Used only if PoE is not available.
  • Reset Hole – Recessed pinhole to factory default the base station.

3.1 Setting Up the Handset & Base

  1. Install the battery into the handset and replace the battery cover.
  2. Connect the base station:
    • Plug an Ethernet cable into the LAN (PoE) port.
    • Connect the other end to a PoE-capable switch or router.
    • If PoE is not available, plug in the base’s power adapter.
  3. Allow the base station to boot — LEDs will indicate power and network status.
  4. Place the handset in the charging cradle (if included) to fully charge before use.
Note: The D230 handset may take several minutes to charge enough to power on if the battery is fully depleted.

4. Pairing (Registering) the Handset

The handset normally comes pre-registered to its base. If it does not show “Registered,” or if the handset or base has been reset, follow these steps:

  1. On the base station, press and hold the Pairing button until the LED blinks.
  2. On the handset, navigate to:
    Menu → Settings → Registration → Register.
  3. Select Register and wait for confirmation.

The handset will display “Registered” once successful.

If the handset will not register:
  • Factory default the base station
  • Factory default the handset
  • Ensure the base is powered and connected to the network
These steps must be handled by your IT provider if unfamiliar.

5. Network & Provisioning

After powering and connecting the base station, the D230 will:

  1. Obtain an IP address via DHCP
  2. Establish DECT pairing with the handset
  3. Contact the PENGUIN provisioning server (if pre-configured)

If the device did not originate from PENGUIN or your IT provider, it may need to be factory reset before provisioning.

PENGUIN Can Verify: Registration status and SIP communication.
PENGUIN Cannot Assist With: DECT interference, range issues, reset/pairing loops, or LAN-side network failures.

6. How to Verify the D230 Is Working

  • The handset displays your registered extension name.
  • You can place outbound calls.
  • You can receive inbound calls.
  • The voicemail indicator appears for new messages.
  • Audio is clear within a normal DECT range (up to ~160 ft indoors).

7. Basic Calling Features

Place a Call

  • Press the Talk/Send key or Speakerphone.
  • Dial the number.
  • Press Send if prompted.

Answer a Call

  • Press Talk/Send or Speakerphone.

Hold & Resume

  • Press Options → Hold.
  • Press Resume to return to the call.

Transfer a Call

  • Press Options → Transfer.
  • Dial the extension/number.
  • Press Transfer again to complete.

8. Voicemail

  • Press the Messages soft key (or navigate to Messages in the menu).
  • Select your line if prompted.
  • Follow the audio prompts.

9. PENGUIN Support Boundaries

PENGUIN Can Help With:
  • Confirming registration on our platform.
  • Checking SIP signaling and call logs.
PENGUIN Cannot Assist With:
  • DECT pairing failures
  • Base/handset resets
  • RF interference or range problems
  • Local network or PoE troubleshooting
